IN2 Why a patient text looks missing in the Inbox

The list previews the last message in the thread. A reminder sent after a patient texts can hide the row if Exclude Campaign Messages is on. Switch to Unread, then All Messages, then search.

Short summary

A conversation is not deleted when the preview changes. The Inbox list shows one row per patient and previews the most recent message in that thread.

If a patient texts you, then TrackStat sends an appointment reminder or other automated message in the same thread before anyone opens it:

  • The conversation can still be Unread - the patient’s text has not been opened.

  • The list preview now shows the automated message, not the patient’s words.

  • If the current filter excludes campaign messages, the whole row can leave that list because the last message is a campaign.

The patient’s text is still in the thread. Change the filter to Unread or All Messages, or search the patient by name or phone.

The message did not disappear

The Inbox is a conversation list, not a pile of individual texts. Inbound texts, staff replies, reminders, campaigns, voicemails, and many notifications share one thread per person.

Two rules run at the same time:

  • Unread / Read belongs to the conversation (or the inbound item that has not been opened). An automated outbound message does not mark the patient’s text as read.

  • The list preview and Exclude Campaign Messages look at the last message. If the last message is a campaign, the preview shows that campaign, and a campaign-exclusion filter treats the whole thread as a campaign thread.

What this looks like

  1. 09:58AM Patient texts: “Can I come in tomorrow instead?” The thread appears in Unread. Preview shows the patient’s words.

  2. 10:05AM TrackStat sends the scheduled reminder in the same thread. Nobody has opened the conversation.

  3. The thread is still Unread. The preview now shows the reminder.

  4. If the current filter view excludes campaign messages, the row leaves that list.

  5. The patient’s text is one message above the reminder, inside the same conversation thread.

A second common mix-up: TrackStat remembers the last filter the signed-in user chose. That is intentional for busy inboxes. It becomes a problem only when the person at the desk does not notice which filter is active or selected.

How to find the conversation

Stop when you see the patient.

  1. Look at the filter currently applied. If it excludes campaigns, change it.

  2. Switch to Unread. Unread does not care whether the last message was a campaign. If the patient’s text was never opened, the thread belongs here.

  3. If it is still not obvious, switch to All Messages.

  4. Search the patient by name or phone.

  5. Open the thread and scroll. The unread patient text is above the automated message.

  6. Reply. Mark the conversation Closed if the request is done.

Do not refresh or reset filters as the first step.

Which view to use

  • Unread - first stop when a patient just texted. Preview may show a later automated message; open the thread anyway.

  • All Messages - widest list. Use when you need proof the thread still exists. Do not live here all day in a busy office.

  • Exclude campaign messages - working view that keeps reminders, drips, and review requests from flooding the list. It judges the thread by the last message, so a reminder after a patient text can hide the row.

  • Open - conversations that still need a person. Only useful if the team Closes finished work.

  • Closed - finished work. History is kept. A new patient text should be treated as new work.

If Exclude campaigns is your daily view, that is fine. When something looks missing, the first move is select the Unread filter.

This is not the same as a conversation merge

If the text is still missing after Unread + All Messages + search - especially right after a new patient was added, or when the message had an image - TrackStat may be merging a patient thread and a non-patient thread. No. Change the working view or filter. Do not disable reminders to simplify the Inbox.
