How to set up and edit your appointment reminders

  1. Go to appointment reminders

  2. Edit the schedule

    1. Drip - sends reminders throughout the day

      1. Send hours before/after or days before/after the appointment

      2. "Send immediately" - message will be sent when you create this type of appointment in your EHR/EMR

    2. Blast - sends all the appointment reminders at a specific time

  3. Audience - If you are missed a provider, appointment purpose or other criteria, you will not send the reminder to that patient.

    1. Appointment purpose - appointment types

    2. Appointment provider

    3. tags - you can use inclusion tags or exclusion tags.

  4. Message - this is where you edit your message

  5. Settings -

    1. None = It will send reminders to any appointment

    2. Limit appointment reminder to one per patient per day = If a patient has multiple appointments, they will only get a single reminder

    3. Limit appointment reminder to one per phone number or email per day = If patients share the same phone number or email, they will only get a single reminder per number/email per day

  6. Global settings - this is the settings for all appointment reminders. It functions like the individual campaigns, but applies to all appointment reminder campaigns.

Q: I set my appointment reminders to go out 24 hours before the appointment. But I just added a new appointment that’s only 8 hours away. When will TrackStat send the reminder?

A: TrackStat checks for new appointments every 15 minutes. If you add an appointment that qualifies for a reminder (like your 8-hour example), TrackStat will notice it during the next check and send the reminder right away—no need to wait for the full 24 hours.
