Introduction
The Practice Summary Report in TrackStat’s Stats section gives you easy, at-a-glance access to customizable statistics for both new and existing patients.
It is designed to help you:
Analyze marketing efforts by viewing new-patient statistics (visits scheduled, visits completed, and treatment plans started) broken down by Referral Sources.
Track financial information for new patients (billed and collected amounts) so you can measure return on investment (ROI) from marketing campaigns.
Review overall clinic performance, provider productivity, patient retention, and service utilization using labels such as Referral Sources, Appointment Purposes, and Services (CPT codes) to group and filter data exactly the way you need it.
This report is fully flexible—choose date ranges, daily/weekly/monthly views, and hide or show only the rows that matter to you.
Key Features
Custom Labels – Group data by Referral Sources (e.g., internal, digital, external marketing), Appointment Purposes, and Services/CPT codes.
Note: Existing labels cannot be edited, but you can create new labels at any time and replace old ones as needed.
Filters – Providers (appointment, billing, or primary) and Services (CPT codes).
Date & Aggregation Controls – Select any start/end date and view data as Daily, Weekly, or Monthly.
Show/Hide Rows – Eye icon lets you display only the sections you want.
Visual Highlights – Green blocks automatically mark the best or highest statistic in the selected period for quick scanning.
Summary Totals – Includes totals, % of total, and averages at the bottom of each section.
Export – Managers and Administrators can download the entire report as a .csv file using the blue Download button in the bottom-right corner.

Appointment Purposes – Number of visits by type (can be viewed individually or grouped).
Providers Stat – Number of visits by provider.
Retention
Reactivations = patients who had a visit during the selected period but had not had a visit for X days (X = your Reactivation setting: 30, 45, 60, 90, 120, or 180 days).
Net Momentum = new patient starts + reactivations – lost patients. (Positive numbers are best; most useful when you consistently mark patients as “starts” in TrackStat.)

Services Stat – Number of visits by Service/CPT code (individually or grouped).

How to Use the Practice Summary Report
Go to Stats > Practice Summary
Set Up or Update Labels (one-time or as needed) Click the green Labels button at the top of the page. Create new labels for Referral Sources, Appointment Purposes, and Services/CPT codes. This allows data to be grouped as desired.
Choose Your Time Frame Enter a Start Date and End Date at the top of the report, then click the blue Load button. Toggle between Daily, Weekly, or Monthly aggregation to see trends.
Click the filter (funnel) icon in the upper left corner for specific Providers or Services.
Customize the View Click the Show/Hide Rows (eye icon) to display only the metrics you need. Review green-highlighted best performers and the summary totals for each row.
Collapse or expand sections by clicking the section header in grey.
Export Data (if you have Manager or Administrator permissions) Click the blue Download button in the bottom-right corner to export the report as a .csv file for further analysis in a spreadsheet.
FAQs
Q: What does “Unique Day 1s Scheduled (Unlabeled)” mean? A: It shows the total unique Day 1 scheduled patients across all referral sources. To see the breakdown, click the green Labels button, select Referral Sources, and add your labels by clicking "Unlabeled" by each item, typing the label name in the new label field and clicking the green plus icon. Once a Referral Source label has been added once, the label can be assigned to additional referral sources for grouping.
Q: What is the Reactivation stat? A: Reactivations count patients who had a visit during the selected period but had not visited for X days (based on your practice’s Reactivation setting: 30, 45, 60, 90, 120, or 180 days).
Q: What is the Net Momentum stat? A: Net Momentum = new patient starts + reactivations – lost patients. The goal is a positive number, showing that more patients are starting or returning to care than leaving it.
