Introduction
The Patient Search feature in TrackStat allows you to quickly locate any patient record across your clinic’s data. Whether you need to send a message, view history, or manage appointments, this tool helps you find the right patient efficiently.
You can search using multiple criteria such as name, email, phone, or account number. Click the gear icon next to the Patient Search field to view search options.
How to Access Patient Search
Log in to your TrackStat account.
At the top of the screen, locate the Patient Search field (prominently displayed in the main navigation area).
Click the gear icon (⚙️) next to the Patient Search field to view search options.
Search Tips for Patients
Use the following guidelines for the most accurate results:
Full name: Enter the complete name as “First Last” (example: John Smith).
First name only: Type just the patient’s first name.
Last name only: Type just the patient’s last name.
Email: Enter the full email address.
Phone: Use the last 4 digits of the phone number for best results. This minimizes issues with formatting variations (spaces, dashes, dots, extensions, etc.).
Account number: Enter the full account number from your EHR.
Pro Tip: If you’re having difficulty locating a patient, search using the most unique item (such as email, account number, or full phone) to differentiate them from other records.
Additional Search Techniques
When searching by phone number, try adding spaces between the area code and prefix (e.g., “702 555 1234”) if the standard format doesn’t return results.
The default search is by full name. If the name doesn’t appear in the results list:
Check for typos.
Try searching by first name only or last name only.
Search by email, account number, or phone number instead.
Check your EHR for the exact information. Some clinics add extra characters to the name fields or phone fields that can cause an issue when searching.
Troubleshooting Patient Search Issues
If you still can’t find a patient, try these steps:
New patients: A patient recently entered in your EHR may take up to one hour to sync and appear in TrackStat.
Refresh TrackStat: Ensure you’re viewing the latest data and version by performing a hard refresh:
Windows: Ctrl + F5
Mac: Cmd + Shift + R
Server-based EHRs (e.g., ChiroTouch, Eclipse): Confirm your server computer is powered on and connected to the internet so that your EHR and TrackStat can communicate. Recent changes to your server setup or to your EHR (database) can cause data syncing issues.
Clear your browser cache or try searching in an incognito/private window if results seem inconsistent.
Best Practices
Start with the most specific search term available to reduce result lists quickly.
