Overview
The Daily Stats and Weekly Stats reports are two of the easiest and most powerful places in TrackStat to quickly see your clinic’s performance metrics.
Both reports show total visits by provider broken down by day (or week), with clear totals and averages for the selected time period. They also include show rates, new patient (Day 1) activity, second-visit (Day 2) activity, collections, and service volumes.
Daily Stats → Focuses on individual days (great for daily/granular tracking).
Weekly Stats → Groups data by week (ideal for goal tracking and bigger-picture trends).
Location (both reports): Stats > Legacy Stats > Daily Stats or Weekly Stats
Default time periods:
Daily Stats: Trailing 7 days (including today)
Weekly Stats: Trailing 5 weeks (including the week containing today)
Key Features (Common to Both Reports)
Provider Visits (click header to expand/collapse section)
This is the main overview section most users check first.
Total visits by provider by day (or week)
Grand total visits across all providers
Average visits per day/week for the selected period
Total Visits row (sum of all providers)
Show Rate: Percentage of completed visits out of scheduled appointments (excludes canceled, missed, and rescheduled)
Note: Total Paid (collections $) is visible only to users with Manager or Administrator permissions. User and User Plus roles cannot see financial data.
Day 1 Visits (expand/collapse)
Unique Day 1s Scheduled – New patient appointments scheduled (excludes duplicates from reschedules/cancellations). Clickable to view individual patients.
Day 1s Show – New patients who checked in.
Day 1 Show Rate – Attendance percentage for new patients.
Scheduled Day 2 Appt & Scheduled Day 2 Rate – How many new patients booked a second visit.
Day 2 Visits (expand/collapse)
Day 2s Scheduled – Clickable to see patients.
Day 2s Show – Clickable to see patients who attended.
Day 2 Show Rate
Started – Number of second visits tagged “np start” (clickable). Note: This tag may take days/weeks to appear depending on your clinic workflow.
Services (expand/collapse)
Quantity of every CPT code with activity during the period.
Shows daily/weekly totals + overall Total and Average.
Important: Every service must have a unique CPT code. Reusing codes with different descriptions will break accurate tracking.
Weekly Stats – Unique Goal Section (expand/collapse)
This section appears only on the Weekly Stats report and helps you stay on track with your clinic goals.
Weekly Goal – Enter your desired weekly visit number in the box at the top of the screen.
Weekly Projected – Counts completed, checked-in, and future appointments for the week (excludes canceled/missed/rescheduled). Excellent early-week predictor of final visit count.
Additional Appts to Hit Goal – Shows how many more appointments need to be scheduled, factoring in your historical show rate for realistic estimates. (Weekly Goal - Weekly Projected ) divided by Show Rate (%) from previous week = Additional Appts to Hit Goal. As some patients cancel, reschedule or no show to their appointments, more appointments must be scheduled to actually meet the goal.
Goal Diff – Difference between Weekly Projected and your Weekly Goal.
Actual Stat – Total visits for the week, with red shading (below goal) or green shading (meets or exceeds goal).
This section is a great motivational tool - review it early in the week and use it to prompt follow-up scheduling.

How to Use the Reports
Go to Stats > Legacy Stats > Daily Stats or Weekly Stats.
Adjust the Start Date and End Date if needed.
Click the blue Load button to refresh the data.
Expand the sections you want to review.
Click any blue/underlined number to drill down to specific patients (this feature is only available for new patient data on the reports).

Common Questions & Troubleshooting
Why don’t I see updated data after changing dates?
Always click the blue Load button after selecting a new time period.
Why can’t I see Total Paid?
Requires Manager or Administrator permissions.
Why Isn’t a Patient Showing Up?
The patient may be marked as a “Prior Patient” in ChiroTouch.
To fix this:
Open the patient record in ChiroTouch.
Uncheck the “Prior Patient” box.
Save the record.
Wait for the next sync with TrackStat.
Why Don’t All New Patients Appear in Unique Day 1s Scheduled? Canceled or missed new patient appointments stay tied to the original date. Use Patient Search to locate them.
Why Is “Day 1s Show” Greater Than “Unique Day 1s Scheduled”?
This occurs when a new patient cancels or reschedules their first appointment and shows up on a future date. The rescheduled new patient appointment is not counted as unique.
Day 1 / Day 2 Stats Don’t Look Right
Common causes:
CPT codes entered in a patient's ledger before the patient’s first visit.
New patients scheduled for multiple appointments on the same day. → For clinics that book more than one appointment for a new patient on the same day, use Practice Summary or Custom Reports data filtered by appointment purposes instead.
How Is “Started Rate” Calculated?
Percentage of Day 2 Shows that received the “np start” tag.
How Is the Weekly Projected Number Calculated?
It includes completed + checked-in + future appointments for the week and excludes cancellations, misses, and reschedules.
Best Practices
Use Daily Stats for granular daily tracking and Weekly Stats for goal monitoring.
Set and review your Weekly Goal regularly—check the Goal section early in the week to motivate scheduling.
When comparing TrackStat to your EHR, always drill down to one specific date to identify discrepancies.
Mark new patients directly from the report: Click the underlined number under Unique Day 1s Scheduled → choose Started, Follow-Up, or Not Qualified.
Keep all CPT codes unique for accurate service tracking.
Use Custom Reports for more advanced filtering.
