Why a Same-Day Missed Appointment Does Not Appear on the Cancelled / Missed Report

Introduction

If a patient missed an appointment earlier today and the appointment is not showing on the Cancelled / Missed report or the Recall List, this is expected behavior with ChiroTouch Classic (server version). TrackStat relies on ChiroTouch to update the appointment status. This article explains exactly when the “missed” status is applied and what is (and is not) affected.

Why the Appointment Is Not Visible Yet

In ChiroTouch Classic (server), appointments are not marked with a status of “missed” on the same day they occur.

The “missed” status is applied only the next day, when the first person logs into ChiroTouch. Until that overnight update happens:

  • The appointment will not appear on the Cancelled / Missed report.

  • TrackStat cannot see the missed status because it depends on ChiroTouch to update the record.

What This Affects

  • Cancelled / Missed report → same-day missed appointments will appear the next day.

What This Does Not Affect

  • Drip Campaigns that use the “Missed An Appointment” trigger – These campaigns use different logic (appointments still in “future” status or appointments that were never checked in). They are not dependent on ChiroTouch applying the official “missed” status.

What You Can Do

  1. Wait until the next business day.

  2. After the first login to ChiroTouch the following day, refresh the Cancelled / Missed report in TrackStat. The appointment should now appear.

  3. If the appointment still does not appear after the next-day update, contact TrackStat support so we can investigate further.
