Introduction
The Milestones - Drop Off Analysis report (located under Stats) shows which patients did or did not reach specific visit-number and time-based milestones that you define. It is a powerful tool for identifying retention trends and drop-off points in your practice.
A green check mark means the patient met or achieved the milestone. A red X means the patient did not. Click any blue number in the report to see the list of individual patients and their status.
How to access the report
In the left navigation, go to Stats.
Select Milestones - Drop Off Analysis.
How the report is intended to be read
Read the report from left to right and top to bottom in a “stairstep” pattern.
When tracking a group of new patients (for example, new patients who started care in a given month), begin in the upper-left cell of the table. Then move down the rows and across the columns to the right to follow their progress through successive milestones (different numbers of visits within defined time periods). This view makes drop-off points easy to spot as percentages decline from one milestone to the next.
How to configure milestones
Click the green Settings button at the top of the page.
Select Configure Milestones.
Use the dropdowns to set the number of visits and the target time period for each milestone.
Click the red trash icon to remove a milestone or the green + icon to add a new one.
Click Done when finished.
How to filter the report by the “np start” tag (common situation)
To focus the report on new patients who have started on care:
Click the Filter (funnel) icon on the upper left side of the report.
Select Tags.
Select the appropriate Tag folder
Check the box next to the desired tag (most common = "np start"). Confirm a green plus (+) appears next to the tag.
Click Filter so the data updates.
You can also filter by Providers or reset/save filters using the controls on the left side of the screen.
How to analyze the results
Every new patient will appear at the first-visit milestone (100%) if it is set to 1 visit in 1 week. This is recommended for the first row to give a baseline of new patients in that time period.
Look for the largest percentage drops between consecutive milestones. These points indicate where retention efforts (re-exam, improved communication, workshop, etc.) may have the greatest impact.
When reviewing higher visit-count milestones, choose a date range that is long enough for patients to have had a realistic opportunity to reach those visits.
After clicking a blue number to see the specific patients in the group:
Green check = patient achieved the milestone.
Red X = patient did not achieve the milestone.
Also available is Patient Name, Case Type, First Visit Date, Total Visits (ie: 2 visits in 6 days) and Future Visits #
Platform-specific note For ChiroTouch Classic (server) users, data in this report is case-specific for each patient.
Tips
Use the Aggregate dropdown (Monthly or Weekly) and the Start Date / End Date fields, then click Load to refresh the view.
Click Download in the lower right if you need to export the current data. Available to users with Administrator permissions only.
Save useful filter combinations with the Save Current Filter option for quick reuse.
