Some clinics notice that numbers in their EHR/EMR reports do not match the statistics shown in TrackStat. This is a common source of confusion. The mismatch usually occurs because the wrong EHR/EMR report is being compared to TrackStat.
TrackStat pulls raw data from your EHR/EMR database. TrackStat does NOT pull data from EHR reports. To verify or troubleshoot these numbers accurately, you must use the exact reports listed in the table below for each statistic. Using any other report will often produce different results.
Correct Way to Reconcile Data Between TrackStat and Your EHR/EMR
To get reliable results when checking why a number does not match, follow this process:
Choose one specific past day Select a single completed day in the past (for example, yesterday or any prior date). Do not select today, as data for the current day is still changing. Do not attempt to reconcile an entire month or year at once - this creates too much data to compare effectively.
Identify the statistic you want to check Decide which data point you are verifying (for example, Total Collections or Total Office Visits).
Run the exact report listed in the table below In your EHR/EMR, open only the specific report named for that statistic. Use the same date range (the single day you selected).
Compare the numbers Check the value in TrackStat for that same statistic and date against the value in the EHR/EMR report. If the numbers match, the data is aligned. If they do not match, note the difference and review the troubleshooting section below.

Troubleshooting Tips
Numbers still do not match after using the correct report? Double-check that you selected the exact same single day in both systems and that the report filters match (for example, posted date vs. service date).
ClinicMind variances Some differences in ClinicMind come from prepayments that have not yet been applied to specific CPT codes. Check the ledger and apply prepayments where needed.
ChiroTouch Classic variances Review the Procedure Productivity Report and any linked transactions (CCP, CRC, MIOT, MPOT charges) that may affect totals.
Applied Payments row Note that ClinicMind does not have a direct equivalent report for Applied Payments in this mapping.
Large date ranges Attempting to reconcile a full month or year at once almost always leads to confusion. Always start with one day to isolate the issue.
