TrackStat Mobile app for clinics

General information for downloading, logging in and using the TrackStat mobile application for providers and staff

Introduction

The TrackStat mobile app gives clinic staff fast, convenient access to patient communication, scheduling, and management tools directly from their smartphone or tablet.

Available for free on the Apple App Store and Google Play Store, the app is designed for providers, front desk staff, and administrators who need to stay productive while away from their desk.

Whether you’re checking the day’s schedule, messaging a patient, or reviewing patient details, the TrackStat mobile app delivers the core features of the TrackStat platform in a clean, easy-to-use interface.

Getting Started

1. Download “TrackStat Mobile App” from the Apple App Store or Google Play Store.

2. Log in using the same credentials you use for the TrackStat web platform.

3. Enable notifications and biometric authentication in Settings for the best experience.

Use your email address and password to login to the TrackStat mobile app.

Note: users must first log in to the TrackStat web based application at https://app.trackstat.org/ . Email addresses and passwords are case sensitive so make sure that the email address is entered exactly as it was set up in your user profile. A common issue is the mobile device automatically capitalizing the first letter of the email address when it should be lowercase.

Select Allow to receive push notifications for new messages on your cell phone.

Key Sections of the App

1. Schedule (Home Icon)

The Schedule tab is your daily command center for appointments.

  • View patient appointments by day and provider

  • Add new appointments for new patients and existing patients directly to the calendar

  • Reschedule or cancel existing appointments

  • Switch between providers using the dropdown in the upper right corner

  • Select any date using the calendar picker in the upper left

  • Scroll vertically to see the full day’s hours and appointments

  • Swipe left to see multiple appointments scheduled at the same time

Note: Rooms cannot be assigned when scheduling an appointment through the TrackStat mobile app for clinics.

2. Patients List (people icon)

Quickly find and manage your patients on the go.

  • Search patients or browse the full list

  • Tap the message icon next to a patient to view conversation history

  • Tap a patient’s name to open their detailed profile, including:

    • Status (Active or Inactive/Archived)

    • Name, Date of Birth, Sex

    • Tags, Email address, Mobile phone number

    • Insurance information

    • Assigned Doctor/Provider

    • Total visits, Future visits, Last visit, Next visit

Use the Add Notes button to record important information instantly

3. Inbox (message icon)

Manage all patient SMS and email conversations in one place.

  • See your Remaining Monthly Credits at the top right

  • Search for patients who have existing conversation history

  • Filter messages by Open/Closed, All Messages, Important, Unread, Received, Sent, Scheduled, Intake Forms, Message Type, Contact Type, Primary Provider, Filter Tags

  • Tap the + plus icon to start a new message to an existing patient or a new contact

  • Use Canned Replies to save time on common responses

  • Open any conversation to view full history, reply via text or email, send a canned reply, or schedule a message for a future date/time

4. Menu (Settings)

Access account settings and app preferences anytime.

Tap the hamburger menu 3 lines in the upper right corner

Choose Settings to:

  • Switch between multiple TrackStat accounts (useful for providers with multiple locations and accounts)

  • Enable or disable push Notifications

  • Turn on Biometric Authentication (Face ID / Fingerprint) for added security

  • Log out of the app when needed

Note: You cannot access any statistics in the TrackStat mobile app. These can only be accessed on a tablet or iPad, or through the web-based application.

Autocorrect & Autocomplete

The mobile app for clinics does not have its own built-in typing or spell-check features. Instead, it uses your phone’s native keyboard (the one that normally pops up when you type a text message or email).

How it works in simple terms:

  • When you type a message in the Inbox within the mobile app for clinics (for example, replying to a patient via text), your phone’s regular keyboard appears.

  • Any autocorrect (fixing typos automatically) or autocomplete (suggesting words as you type) comes directly from your phone’s settings - not from the mobile app.

  • This means the behavior is exactly the same as when you text your friends or family.

Quick tips for clinics:

  • To change autocorrect behavior, go to your phone’s Settings > General > Keyboard (iPhone) or Settings > System > Languages & input > Keyboard (Android).

  • Turn autocorrect on/off or manage learned words there.

  • The app respects your phone’s settings so your staff can use the typing experience they’re already comfortable with.

Note: Because the mobile app for clinics relies on your device’s keyboard, features may vary slightly between iOS and Android phones.

FAQ

Q: Can I filter cancelled or rescheduled appointments in the TrackStat mobile app?
A: No, filtering for cancelled or rescheduled appointments is not available in the mobile app. However, you can identify these appointments by the icon displayed next to the patient’s name on the schedule.

Q: Why aren’t certain messages appearing in the mobile app?
A: This is usually due to filter settings. Ask the user to tap the Inbox icon in the app, then select the Filter icon in the top left corner and reset the filter to All Messages.

Q: Can I attach files or images to a message in the TrackStat mobile app for clinics?
A: Files and images cannot be attached to a message within the TrackStat mobile app for clinics. Instead, create a Canned Reply in the web based version of TrackStat with the attachments and/or images and then send the Canned Reply from the TrackStat mobile app as needed.

Q: Does the mobile app provide access to our schedule during server or power outages?

A: Yes, you can use the TrackStat mobile app to view your schedule, however, you can not make edits to appointments.
