Overview

Patient Notes in TrackStat serve as a centralized way to document important patient information, replacing traditional sticky notes. These notes help your team stay aligned on patient history, preferences, and care details across reports and your integrated EHR (such as ChiroTouch Classic (server)).

This article explains how Patient Notes work, how they sync with ChiroTouch Classic (server), best practices for entering them, and troubleshooting tips for common issues when adding notes in various reports.

How Notes Sync Between TrackStat and ChiroTouch Classic (server)

Notes sync between TrackStat and ChiroTouch Classic (server) in specific ways depending on the note type. Understanding these rules ensures your information appears correctly in both systems.

  • Appointment Notes entered in ChiroTouch Classic (server) will sync to TrackStat. Notes added in TrackStat will also push back into ChiroTouch. This is the only type of note that syncs both ways.

  • Patient Notes entered directly in ChiroTouch Classic (server) do not sync to TrackStat.

  • Patient Notes created in TrackStat will push into ChiroTouch Classic (server) in the Front Desk app.

  • Notes entered for leads or manual entries on the Follow Up Report will not sync with your EHR and will only be visible on the Follow Up Report.

Tip: Always verify notes in both systems after entry for critical patient information.

How to Enter Patient Notes

  1. Open any patient-related report in TrackStat (e.g., Appointment Report, Patient Management Report, Weekly Patients, Recall List, Patient Search, Cancelled / Missed, etc.).

  2. Locate the Patient Notes field for the relevant patient.

  3. Click into the field and type your note.

  4. Click outside the field to save the note automatically.

  5. The note will appear in all other TrackStat reports for that patient.

Note: Patient Notes added in any report will automatically appear in all other reports.

Patient Notes Best Practices

  • Recommended Format: MM/DD/YYYY - Your note text here - Initials Always add new notes above the most recent one. This keeps the newest information at the top for quick scanning while scrolling.

  • Keep notes concise to stay within field character limits.

  • Avoid special characters when possible, as they can occasionally cause display or saving issues.

  • Use Patient Notes to centralize communication across your team for better continuity of care and history.

Troubleshooting Patient Notes Issues

If you encounter problems entering or saving notes in the Patient Notes field:

Issue: "Undefined" appears in the Notes box and the note will not save.

This often occurs when trying to add a note for a lead or non-patient from the Inbox. Notes cannot be added to leads or non-patients directly from the TrackStat Inbox.

Solution for Leads/Non-Patients:

Click the "Add to Follow Up" button in the Inbox. Then navigate to the Follow Up Report and add your comments in the Notes field there.

Quick Fixes (try in order):

  1. Click outside the field after typing - notes save automatically when focus leaves the field.

  2. Keep the note concise and avoid special characters.

  3. Perform a hard refresh to load the latest version of TrackStat:

    • Windows (Chrome): Ctrl + F5

    • Mac (Chrome or Safari): Command + Shift + R

    • iPad (Safari): Option + Command + R (or hold the reload button, then tap Shift + Reload)

  4. If the issue persists, open TrackStat in an Incognito/Private window to rule out browser extension interference.

  5. Still not working? Clear your browser cache or try a different browser. Contact TrackStat support with details (browser, exact error, and steps tried).

These steps resolve the vast majority of Patient Notes entry issues.
