The integration between TrackStat and Fortis or CashPractice offers powerful tools to enhance your practice’s efficiency and improve patient management. Here’s how it can benefit you:

  1. Prevent No-Shows with a Pay Wall: Reduce no-show appointments by requiring payment upfront for certain services, like massages or new patient visits. These payments are automatically posted to the patient’s account, ensuring smooth transactions.

  2. Streamline Treatment and Payment Plans: Easily track which patients are behind on their treatment plan payments and see when their next visit is scheduled. You can quickly send a payment link to update their card or collect outstanding payments.

  3. Manage Memberships Effectively: Keep tabs on patients who are not scheduled for their next visit and identify those who are scheduled for more visits than what their membership offers. This helps you ensure all visits are accounted for and within plan limits.

  4. Daily Appointment Report: Prepare for your day with a comprehensive report that shows which patients have expiring cards, missing payments, and details about their insurance and balances—all in one place.

  5. Quick Invoice Feature (Coming Soon): Generate invoices based on the services a patient has received, make quick edits, and send a compliant payment link directly to the patient to settle their balance.

  6. Effortless Credit Card Updates: If you’ve recently switched to Fortis, you can send a text or email blast to update patient credit card information. Plus, you can easily see which patients scheduled for the day don’t have a card on file yet.

Step 1: Connect via API key from your merchant processor

This integration simplifies your financial processes, improves patient accountability, and enhances practice management, making your day-to-day operations smoother and more efficient.

CashPractice

  • Go to My Account > System Settings > Integrated TPS Keys > TrackStat API Key

  • Go to TrackStat > Extras > Integrations > CashPractice > Paste in API key

Fortis

  • Login to Fortis

    • Create a user, name TrackStat and provide an email for that user (email address does not have to be valid)

    • Set as:

      • User Type = Location Admin

      • role = all privileges

    • TrackStat > Extras > Integrations > Fortis > Add user ID, Fortis user API & location ID

  • Both the appointment report and all patients' reports have columns to help you manage your patients on a treatment plan

Step 3: Send out invoices

How to Send an Invoice to a Patient

Follow these steps to create and send an invoice:

  1. Open the Patient Card by clicking on their name in any report

  2. Click the “$” icon or “Generate Payment” option.

  3. Add Services

    1. If there are no services listed, manually add them by selecting from the service list.

    2. Either enter a custom amount (e.g., $50) or leave it blank to charge the full amount.

  4. Preview & Send

    1. Click Preview to see how the invoice will look.

    2. Then click Generate Invoice to create the link.

    3. You can email or text the invoice link to the patient.

  5. For Existing Services in EHR

    1. If the patient already has services in your EHR, simply select them from the list.

    2. Click to generate and preview the invoice.

    3. The patient can click the link to pay directly.

  6. Allow approximately 30 minutes for generated invoices to be visible in the "Quick Invoices" section of Fortis

Step 4: Require Payments w/ Online Scheduling

If you want to require payment when patients book appointments online, follow these steps:

  1. Set the Appointment Type: Make sure an appointment type is selected and properly assigned to the provider.

  2. Enable Payment: Under the scheduling setup, toggle the option to charge for the appointment.

  3. Patient Booking Experience: The patient will enter their information, submit payment, and the appointment will be booked once the payment is processed.
