How to run a successful workshop/seminar using blast and all patients

Who Is Your Ideal Audience?

  • What kind of workshop is this?

  • Is it for women? Men? Patients of a certain age?

  • Would you offer this to anyone or patients who are financially qualified because of past or insurance payments?

  • Patients who have had a particular type of appointment

  • Patients who have seen or not seen a provider

  • Patients who have received or not received a particular service, product, or supplement?

Think about that first, rather than inviting everyone. Your delivery rate improves if you segment your audience in email because it allows you to write better email and text message, increasing engagement. The better your engagement, the better your delivery and open rate.

Next, Go To Blasts

Click on megaphone icon

Select Blast Campaigns
Click green + on far right of the blue column header to create a new campaign
Name it and click Save
Select primary filter from drop down menu (date range):

  • Visit Date (I would consider the last 2-3 years)


​Click Filters button to select secondary filters (to identify your target audience):

  • Active/Inactive

  • Age (think about the age range that is best)

  • Attorney

  • Birthday Month

  • Care Package

  • Case Type

  • City

  • CPT code (include + or exclude - ) (this will probably not be necessary)

  • Diagnosis

  • Fee Schedule

  • Has Future Appointment

  • Insurance Company

  • Primary Provider

  • Referral Source

  • Sex (You may consider this for a seminar)

  • Total Paid (I highly recommend you use this. If someone has not completed 3 visits to your office, the likelihood they have a relationship with you is minimal. Insurance or money out of pocket is included in this number.)

  • State

  • Tags (include + or exclude - ) (exclude your 'not qualified and any other tags you wish)

  • Appointment Provider (You may want to exclude patients from a certain provider)

  • Appointment Purpose (Your ideal patients have had a certain type of visit)

  • Zip Code

  • Next Appointment Provider

  • Last Appointment Provider

  • Next Appointment Purpos

Click on Message/Schedule

Click + Add New Schedule button

Add Schedule name

Select time for message to be sent from drop down:

  • Now

  • At the designated date/time

To create a new text or email message, click + on the right side of Choose Message drop-down menu

Name it

Choose Text or Email from drop down Type

Assign message to a folder for organizational purposes (optional)

Create message in box using {{merge fields}} as desired.

For text usage, keep in mind:

  • 1 text message = 160 characters including spaces

  • 2 text messages = 161 - 320 characters including spaces

  • 3 text messages = 321 - 480 characters including spaces

  • Example - text message that is 180 characters long with an audience of 500 patients is counted as sending 1,000 text messages

Click Save button

Select saved message from Choose Message drop down list

Repeat steps above to add additional messages using delay timing (optional)

  • When there are more than 2 Message/Schedules in the campaign, the Message Delay Timings for Message/Schedule 3 and higher are based on the number of days since the previous Message/Schedule and not number of days since Message/Schedule 1

When ready to send/schedule a campaign, click Enable button on each message schedule.

Then click Enable button for the whole campaign.

Click the Save button

Message(s) will be sent at the designated times.

Tag Patients In The Inbox

Tag those patients

  • If you have a reply from someone replying to RSVP for the workshop/seminar, tag them.

  • Create a tag such as: workshop.year.month.date

  • Pull up your list of patients with this tag in the ALL PATIENTS report. Make sure your filter by a long enough date range at the top, and then filter by tags to get your list of attendees
