Step-by-Step Guide to Manage Insurance Re-Verification in TrackStat

1. Identify Patients Needing Re-Verification

  • Create a Blast Campaign:

  • Label it something like “Insurance 2024.”

  • Set the date range for re-verification (e.g., “12/31/2023” to “01/01/2024”).

  • Use filters like Insurance Companies or Case Types to narrow down the audience.

  • Bulk Tag Patients:

  • Apply a tag (e.g., Insurance Verification) to the selected group of patients.

2. Create a Special Appointment Reminder

  • Duplicate Your Appointment Reminder Campaign:

  • In the duplicated campaign, adjust the audience filter to include only patients with the Insurance Verification tag.

  • Modify the Reminder Message:

  • Customize the message to say something like:

  • “Please bring your current insurance card to your next visit.”

  • Your standard appointment reminder can have an exclusion tag for the verified patients, but if you forget to do this step, they will not receive the reminder because it's only for patients without 'insurance 2024' tag.

3. Manage Tags as Patients Are Verified

  • Remove the Insurance Verification Tag:

  • Once a patient brings in their updated insurance card, remove the tag.

  • This automatically returns them to the regular appointment reminder cycle.

  • Optional: Add an Insurance Verified Tag:

    • Use this tag to track patients who have completed the process.

4. Use the Appointment Report for Tracking

  • Filter by Tags:

  • Use the appointment report to filter and view patients with the Insurance Verification tag.

  • Add Notes:

    • Record patient check-ins and insurance updates directly in the report. Example:

      • “01/05/2024: Insurance Verified”

      • Appointment notes

        • Create an alert for your staff to collect the updated card when these patients check in

5. Streamline the Workflow

  • Once the patient’s insurance is verified:

    • Remove the Insurance Verification tag.

    • Ensure the patient receives regular appointment reminders going forward.
