A: Once online scheduling set-up is completed there are a few different ways a patient can be invited to use online scheduling. * Note: every existing patient has a unique online scheduling link *
Manual Invitation: Patients can be invited using the "Scheduling invite (Master)" canned reply in the Inbox.
Automated Drip Invitation: Patients can be invited using the "Scheduling Invite" Drip Campaign that invites patients as they come in.
Filters in the "Scheduling Invite" Drip Campaign should be modified to match visit purposes and case types that are available for online scheduling. For example, if only Chiropractic Treatment is available for online scheduling then only the visit purpose "Chiropractic Treatment " should be selected in the appointment purpose filter of the drip campaign.
Q: Where can patients see all of their future appointments?
Why Do Existing Patients See a Message About Calling to Schedule Certain Appointments?
One common issue is a pop-up message asking existing patients to call the office when booking certain appointment types online. This happens if their Case Type for the service is not configured properly.
Solution:
Open the patient’s record in TrackStat.
Review and adjust their Case Type(s).
Ensure necessary Case Type(s) pertinent to the appointment type are added.
Save the changes. This allows patients to book specific appointments online without facing errors.
Patients can see all of their future appointments online including appointments scheduled by the office (within the EMR) and appointments scheduled online! Invite patients to use online scheduling with an automated drip campaign or using a canned reply. Patient clicks on their custom scheduling link, enters their password and voila - they can schedule an appointment or view all of their existing appointments!
Q: What type of appointment purpose is online scheduling best for?
A: For existing patients, online scheduling is intended for your most used appointment purpose(s).
For effective scheduling, ensure that Case Types align with the most commonly scheduled appointment purposes. Case Types help determine the services patients can book online and must be set up correctly in TrackStat for seamless scheduling.
Q: Do patients get notifications/reminders when they schedule online?
A: Yes, plus you can select which statuses you want patients to be notified for when the scheduled appointment is updated
Q: How will we know when a patient makes an appointment using online appointment scheduling?
A: You will receive an email notification to your TrackStat inbox when a patient schedules an appointment using online scheduling
Q: Can patients cancel appointments that they make online?
A: You have the option to allow patients to cancel appointments they have scheduled online. If you would like patients to call your office to cancel an appointment, the online cancellation option can be turned off/disabled.
Q: Is there a way to turn off appointment scheduling privileges for some existing patients? Some patients frequently schedule and cancel at the last minute.
A: Click on Online Scheduling icon. Click on Invited Patients. Locate patient and check Disabled box.
Another option would be to give them a unique case type that could be excluded from online scheduling. The patient would receive a message that says they need to call the office to schedule.
Or give them a not qualified tag to make sure they are not invited to use online scheduling. The patient would still be able to schedule online, but they would not receive regular reminders to do so.
Q: Our existing patients are using online scheduling. What is "need verification" for on the login page?
A: When a patient signs up for online scheduling, they receive an email for verification purposes. In case they are unable to locate the verification email in their inbox or the link has expired, they can click on “need verification” to trigger the verification without signing up again.
