Work in the live patient report instead of downloading it

A downloaded spreadsheet is a snapshot that goes stale. Work in the live TrackStat report so balances, schedules, notes, and tags stay current, and so the whole team can see the work.

Short answer: do not download the patient report to Excel, Google Sheets, or a .csv if the goal is to review patients or work the list. Open the report in TrackStat and work there. A download is a snapshot. The moment it is exported, it stops updating. The live report keeps updating as the EHR syncs schedule changes, payments, balances, and chart data, and as your team adds notes, tags, and follow-up dates.

This applies to every patient report in TrackStat, including the Appointment Report, Patient Management, All Patients, Weekly Patients, Follow Up, Recall, and Cancelled / Missed.

Live report vs. a downloaded spreadsheet

A downloaded file is a photograph of the list at one moment. A live report is the working list.

Live report in TrackStat

Downloaded spreadsheet

Updates when the EHR syncs appointments, payments, balances, insurance, and contact data

Frozen at the time of export. A payment posted five minutes later is not on the sheet

Staff can text or email the patient from the row, add a note, tag, and set a follow-up date

No messaging, no notes, no tags. Someone has to retype the work somewhere else

The next person on the team sees the note, the tag, and the conversation

The file sits on one computer. Nobody else can see what was done

Filters and sorts can be saved and reused tomorrow on current data

The sort is on old rows. Tomorrow the sheet has to be downloaded again

TrackStat was built because spreadsheets do not stay current in a busy clinic. No one has time to update them, so they stop matching the schedule, the balance, and the notes. The founders ran into this with their own team. The report is the workflow. The download is not.

What the spreadsheet cannot do

As soon as the file is exported, it loses the link to what is happening in the practice:

  • A patient schedules, cancels, or is moved. The sheet still shows the old appointment.

  • A payment posts or a balance changes. The sheet still shows the old amount.

  • Insurance, a fee schedule, a cell phone, an email, an injury date, a referral source, or an attorney is added in the EHR. The sheet does not pick it up.

  • A teammate already called or texted the patient. The sheet does not show that conversation, so the patient gets contacted twice, or not at all.

Working the downloaded list means the team is reacting to yesterday. Working the live report means the team can see the problem while it is still small.

How to work the list inside TrackStat

Open the report that matches the job. Do the work on the row. Do not copy the row into a spreadsheet.

  • Filter to a group that should be handled together: a provider, a tag, no future appointment, a referral source, an insurance, a date range. Save the filter if the team runs it often.

  • Sort a column to surface the issue: highest balance, oldest follow-up date, missing next visit, missing contact info, missing injury date.

  • Show or hide columns so the screen shows only what this task needs. Increase Page Size at the top of the report to see more rows. To find a name on the page, set Page Size to show the rows you need, then press Ctrl + F.

  • Add a Patient Note, Appointment Note, or Insurance Note on the row. Notes added in one report show on the other reports, so the next person does not have to ask what happened. Best format: mm/dd/yy - note - initials. Put the newest note at the top of the field above the older ones.

  • Add a tag for the stage or the problem (needs auth, needs insurance card, records request, no cell). Tags let the next person filter to the same group.

  • Message from the report. Click the patient name to open the conversation and text or email about scheduling, a balance, a new authorization, a check-in after care, or missing information. The message stays on the patient record. Teammates can see it.

What to look for on the live report

Use sort and filter to find these before they turn into a missed visit, a denied claim, or a lost patient:

  • No future appointment

  • Account balance that should be collected or discussed

  • Missing injury date, fee schedule, or insurance information

  • Missing cell phone or email, so reminders and recall cannot go out

  • Missing referral source

  • Missing attorney contact on a personal injury case

  • Treatment plan that is off track, patient not compliant (Weekly Patients report)

  • Inconsistent data that will cause a claim or a reminder to fail

Finding a missing or inconsistent insurance and fee schedule or a missing cell phone today is proactive. Finding out the claim did not pay, or that the patient never got the reminder, is reactive. Reactive work is slower, inefficient, more stressful, and usually costs the practice money. The live report is how the team stays ahead of that. Be proactive!

Why the doctor can see the work without a spreadsheet

Owners often ask for a download so they can review what staff are doing. The live report already does that, and it is more accurate.

  • Patient Notes, tags, and follow-up dates are visible to the team, not locked in one person's file.

  • Conversation history shows who texted or emailed the patient and what was said.

  • A manager can open the same filtered report the front desk is working and see which rows have a note and which do not.

A spreadsheet cannot show that. In TrackStat there is one list, and it is the current most up to date list.

When a download is reasonable

A download is fine for a one-time snapshot that will not be worked as a patient list. Examples: a de-identified marketing review, or sending a custom stats report to an owner who wants a copy for a meeting. It is not the way to schedule patients, collect balances, chase authorizations, or track who needs a follow-up.

If a file is still required, only a Manager or Administrator can download. On most patient reports the Download button is at the bottom right and saves a .csv. If the button is missing, an Administrator has to grant access. Expect the file to be out of date within minutes. Do not treat it as the working list.

If an owner asked you to download the report

Open the live report, apply the filter they care about, and walk the list with them on the screen. Sort the column that answers the question (balance, next visit, missing insurance, follow-up date). The rows they are looking at are current. A spreadsheet of those same rows would already be wrong by the time it was opened.
