Important!
Once the TrackStat β HighLevel (GHL) integration is successfully connected and configured, TrackStat automatically updates opportunity stages and lead statuses in HighLevel based on real patient activity in TrackStat.
This means many tasks your team previously handled manually (such as moving leads between opportunity stages when a patient books, confirms, cancels, no-shows, or completes an appointment) are now handled automatically by TrackStat.
Why This Matters
Eliminates duplicate work: Manual updates in HighLevel are no longer required for integrated actions.
Prevents confusion: If team members continue to manually move opportunities after the integration is live, it can create conflicting or excess activity in HighLevel, leading to inaccurate reporting and unnecessary notifications.
Improves efficiency: Your team can focus on patient care instead of repetitive data entry.
Required Actions for Your Team
Communicate the change clearly with all staff who work in HighLevel or TrackStat.
Update your internal SOPs (Standard Operating Procedures) immediately to reflect that opportunity stages should no longer be updated manually for actions handled by TrackStat.
Train the team on the new automated workflow so everyone understands what TrackStat manages automatically.
Tip: Review your current HighLevel workflows and opportunity pipelines. Remove or disable any manual triggers or rules that duplicate what TrackStat now automates.
By making this adjustment, your clinic will experience cleaner data, fewer errors, and a smoother patient journey between the two platforms.
