Why does a patient appear more than once on the All Patients Report?

Most patients appear once. A patient can appear on more than one row when TrackStat has more than one Last Visit Purpose for that patient’s last visit - most often two appointments on the same last-visit day with different purposes.

That is a display of visit-purpose data. It is not a second patient account.

Does this affect billing?

No. Duplicate rows on All Patients do not create double charges and do not change recurring or merchant-processor billing. Charges and payment plans follow the patient account, not the number of rows on this report.

What to do

  1. Sort by Last Name to group the rows.

  2. Compare Last Visit Purpose, Last Visit date, and Total Visits.

  3. Use Account Balance and merchant-processor columns on either row; they belong to the same account.

  4. If you are building an audience list, Tag the patient once and ignore the extra row, or export and deduplicate in the spreadsheet if you are an Administrator downloading CSV.

  5. If you select both duplicate rows and run Actions, Status, Tags, or Send Message apply twice for the same account. Select one row for bulk work when the same patient appears twice.
