How Can I Customize and Personalize Post-Appointment Communication Messages in TrackStat?

TrackStat provides versatile features to customize and schedule post-appointment communications with patients, allowing practices to manage follow-ups effectively and personalize messages to fit their needs.

Appointment reminder - after appointment 1 hr, 2 hrs, 24 hrs

Appointment reminders can be modified to send a message after the appointment, for a post visit follow up. Typically 2 hrs after check in.

  1. Navigate to the Marketing campaigns > appointment reminders > after appt check in

  2. Select your audience

  3. Edit the message

A benefit of sending this through the appointment reminder is that appointment provider, date and time merge fields will match the appointment.

Drip - last checked in visit - today - 1 hr, 2 hrs

This drip message is great if you want more filtering criteria that an appointment reminder does not offer, or if you wish to trigger a series of messages.

Drip - last checked in visit - yesterday

This drip message is set to go out for yesterday's appointment. Sometimes you want to check in on the patient the next morning to see if they were sore after a treatment.

Tips for Effective Customization

  • Experiment with Timing: Different types of appointments will respond better with variations of timing. Sometimes you will want to send them a message 2 hrs after the appointment and sometimes it may be the next morning.

  • Prompt a reply: Make it personal and prompt a reply, so your team can reply to them from the inbox.
