Online Scheduling - Solutions for clinics with multiple locations and providers on one database

Are you running multiple clinic locations off of one EMR/EHR database?

Have you had trouble in the past making online scheduling work for the various locations?

Fear not! Many options exist to make online scheduling work for these situations.

Recommendations:

  • create a separate provider for each location

  • create separate appointment purposes/types for each location (especially for the most commonly used appointment type)

For example if you currently use:

  • Chiropractic Adj

for most of your patient appointments, we recommend adding additional appointment types in your EHR/EMR for each location like the following:

  • Chiropractic Adj - Location A

  • Chiropractic Adj - Location B

  • Chiropractic Adj - Location C

Then, these appointment purposes can be assigned to the specific providers (locations) in the online scheduling settings.

This will solve the issue of patients having to click through all of the available dates and times to find their desired location.

To add a new purpose of visit in ChiroTouch:

  • Open ChiroTouch Maintenance

  • Select List Maintenance

  • Choose the list: Purpose of Visit

  • Scroll down to the bottom and add new entries as needed

Once the new appointment types have been added in your EHR/EMR, make sure they are used on at least one appointment in your EHR/EMR. Then allow 1-2 hours for the new appointment types to be visible in TrackStat.

Update online scheduling settings:

  • add new appointment type(s) to online scheduling settings

  • select new appointment type(s) in online scheduling provider settings
